Customising Reports

Report Designer Screen

TSM lets you can modify all the output of TSM including reports, labels, emails and SMS messages. Perhaps you would like to add a date to a report, add some text, inserting your company logo, changing the font, setting colours or maybe modifying the whole look and feel of the report. TSM lets you customise most aspects of a reports layout.

Note: This facility is for advanced users only.

  1. Select the report category from the Reports Menu. For example, if you want to modify the invoice layout, select the Debtors report page.
  2. Press Setup Reports.
  3. You will be presented with a list of reports corresponding to the options you selected.
Report Type

The category of report to look at. TSM classifies each report under a selected category. Categories include Job Cards, Invoices, Orders, Parts Database and many others. Selecting a different Report Type will display all the relevant reports for that Report Type

Actual Report Name

TSM stores reports in individual files in your TSM program directory. Each report is stored in 2 different files with the extension of .FRX and .FRT. For example the standard Detailed Job Card report is called SERV.FRX and SERV.FRT. The Report Name field displays the actual name of the selected report file. Note: Any reports you customise are stored in their own report file. As such, it is important that you occasionally back up your report files as well as your data if you have any customised reports.

Report Grid

The Report Grid displays a list of each report of the selected Report Type. The Report Grid displays the following information:

Report Name

A descriptive name of the reports.

Detail / Summary

The report is classified as a Detail or a Summary report. You must choose one or the other. This selection affects which reports are available for selection on the Reports page depending on whether you choose to select a Detailed or a Summary report.

Default

Tells TSM that this report is the one that will be selected for output by default for this report type. You can select a different Detailed and Summary default report. Only one default report for detailed and one default report for summary can be selected.

Original

Identifies this report as an original TSM report. Non-original reports are those customised by you. You can not change or delete an original TSM report.

Visible

This field determines whether this report will be available in the Select Desired Report drop-down list to be printed, faxed, saved or viewed. Set all the reports you are never likely to use as not visible so that it makes it easier for you to select your regularly used reports.

New

A read-only indicator for the report’s origin under the old FoxPro 8 or the new FoxPro 9 report engine.

Created

The date the report was created.

Updated

This field determines whether this report will be available in the Select Desired Report drop-down list to be printed, faxed, saved or viewed. Set all the reports you are never likely to use as not visible so that it makes it easier for you to select your regularly used reports.

Description

A description of the report including any special instructions for printing the report.

Duplicate

TSM will not permit you to directly modify an original report. If you have not already done so, select the report you wish to customise and click on . This will create a copy of the original TSM report. Select this report and change the name to indicate that it is your modified report.

Remove

If you wish to remove a customised report, select it and press . You can not remove an original report.

Customise

To customise the report, press . You will be taken directly to the TSM Report Designer where you can change anything on the report. You can not customise an original TSM report. See separate documentation for customising TSM reports.

Exit

Exit the Report Setup screen.

Customising SMS layout

The SMS message that TSM sends out originates from a report file like any other report and can thus be changed to suit your requirements.

To change the SMS report layout:

  1. Select any report menu option from the Actions menu
  2. Press the Setup Report button
  3. In the top left corner select the SMS Jobs Report Type
  4. You will now see the list of SMS reports to customise. There are 2 types of SMS report layouts:
  5. Summary for Assignment SMS messages. Use this layout to include assignment related information. These SMS messages are initiated from the Assignment maintenance screen or from the Visual Scheduler.
  6. Detailed for Job sourced SMS messages. These SMS messages are initiated directly from the job employee SMS button.
