Visual Scheduler screen

The Visual Assignment Scheduler provides a powerful tool for managing the diary activities of employees, organising job schedules and visually assigning employees to jobs. With the Visual Assignment Scheduler, you can view a graphical display of any technician or group of technicians in a convenient daily, weekly or employee calendar view. You can even print out a selected schedule at any time.

The Visual Assignment Scheduler can be accessed by pressing ALT-F10 anywhere within TSM (or selecting Visual Scheduler from the TSM Actions Menu or Taskbar). The Visual Assignment Scheduler screen comprises the following sections:

Press the navigate buttons to quickly change the calendar dates displayed.

Move the calendar to the previous day / week

The currently selected date. Double click on the date to choose today’s date.

Move the calendar to the next day / week

Redraw the calendar display to display updated assignments.

Click to Assign the selected employee to the selected assignment

Unassigns the employee from the selected assignment

Delete the selected assignment

Print the assignment calendar

Exit from the Assignments screen

Selected View

There are 3 different views you can view the Schedule calendar

DAY VIEW: Show all assignments scheduled for the selected day. This view provides the maximum information for a single day.

MULTI DAY VIEW: You can view all your assignments for up to 35 days at a time. You can adjust the number of coulmns on view by selecting on the COULMNS button at the bottm right of the screen

EMPLOYEE VIEW: Display one column per employee for the selected day. You can display up to 35 coulmns at one time. You can adjust the number of coulmns on view by selecting on the COULMNS button (at the bottm right of the screen)

Selected Employees

Select Users dialogue

You can choose any number of employees to display in the Visual Scheduler. To select employees, press the Search button. The Select Users screen will be displayed. This form includes the following options:

User List

All unselected employees. Double click on a user to add them to the Selected Users list.

Group List

All Employee groups set up in TSM. Use this to conveniently select teams or groups of employees to view their calendar. Double click on the group to add the members to the selected users list.

Selected Users

The users that have been selected. Double click on a user to remove them from the list.

Clear All

Quickly remove all users from the selected users list.

OK

Accept the selected user list and return to the Visual Scheduler with the selected users list.

Cancel

Cancel your selection and return to the Visual Scheduler without changing the employee selection.

Once you have selected your users, the selected users list appears in the top right side of the Visual Scheduler. Each employee is assigned a colour which will correspond to the colour of their Assignments jobs in the Calendar View. If the Employee has their own colour assigned in Employee Maintenance then this will be used otherwise a random colour will be assigned to the Employee.

The dropdown menu allows the selection of a particular Employee Group. Tick on the check box of any employee to only display their Assignments in the scheduler. Unclick to redisplay all Assignments. (Available only in day / week view). Each time you start up the Visual Scheduler, the calendar will remember and display the list of users you last had selected.

By ticking the box next to the employees name you can view that employees assignments only. You can select multiple employees at one time.

Filters

Linked Assignments
  • Linked Assignments - Display only those assignments linked to a Job
  • Unlinked Assignments - Display only those assignments not linked to a Job
  • All Assignments - Display all assignments whether linked or not linked to a Job
Assigned / Unassigned
  • Assigned - Display all assignments assigned to an employee
  • Un Assigned - Display all assignments NOT yet assigned to a specific employee
  • Both - Display all assignments whether assigned or not to an employee

Note: not available in employee view

Assignments / Tasks / Time
  • you can view assignments only
  • you can view tasks only, if the tasks is not enabled(grayed out) then you have to go to Utilities–>Setup–>Job card–>Setting–>Enable tasks.
  • you can view assignments and tasks, if the tasks is not enabled(grayed out) then you have to go to Utilities–>Setup–>Job card–>Setting–>Enable tasks
  • you can view the actual time applied (time sheet entry) to a job card
Include Weekend

Should the Visual Assignment Scheduler display Saturday & Sunday (Only available in Week View).

Include Completed jobs

Normally the scheduler displays only active job assignments. However you can get a realistic view of all assignments by checking this option to include completed job assignments as well.

Department

You can limit the display of assignments linked to jobs for a selected department. Leave this blank to display jobs for all departments.

Status

You can limit the display of assignments linked to jobs for a selected Job Status Code. Leave this blank to display jobs for all Status Codes.

Job Type

Displays assignments for jobs of one type only.

Location

Displays assignments for jobs with a particular default location.

Time Interval

You can select different time intervals for the calendar display from 5 minute intervals up to 60 minute intervals.

Number of Columns

You can display up to 35 coulmns at a time in the empployee and the multi day view. Adjust the number of columns you want to display here.

Please Note: it is now possible to view the Visual Scheduler as a stand alone module, this will not reqyuire an additional licence
