InfoCenter

The InfoCenter is a custom information resource in TSM that an organisation can create for multiple users to access. It is a resource used to maintain and display any type of information useful to an organisation or an individual.

The InfoBase organises information in a hierarchy similar to an outline. Use it to store any sort of information you want to make available to your staff. You could use it to store product information, specification sheets, competitive information, staff policies or any information you want to share.

The InfoBase can archive information in a variety of formats, such as graphics, multimedia files, and program applications.

There are three levels of information. Each level is graphically represented by an icon.

As the highest level in the hierarchy, a book contains all subsidiary folders and topics. For example, a company may create a book for the subject of employee information. The book could include topics such as a directory, benefits, policies, etc. A book can contain text that appears in the right pane of the display area.

To display the contents of a book, double-click on the icon. When open, the book’s icon changes to .

As the second level in the hierarchy, a folder contains one or more related folders and topics. For example, a folder with the title benefits may include other folders for topics such as healthcare, disability, and retirement benefits. A folder can contain text that appears in the right pane of the display area.

appears to the left of any closed folder. To display the contents of a folder, either click on , or double-click on the icon. When open, the folder’s icon changes to .

As the third, or lowest, level in the hierarchy, a page represents a topic. A page can contain text that appears in the right pane of the display area.

Creating a Topic

To create a topic, click on the New button. TSM places a new topic page at the top of the selected section in the left pane.

The new topic properties screen will appear:

Give the topic a name.

New sub-category / New parent Section

Select whether this topic will be a sub-category of the selected topic or will be a New book at the top level of the hierarchy.

Attach file

You can link a text file, or RTF file bitmap graphic, multimedia file, or even a program to a book, folder, or topic.

You can link a file by either:

Displaying a list of files in Windows Explorer or the appropriate system icon on your desktop, then drag and drop the file onto the section to which you want to link the file. Using this method, you can drop any file you want into a topic. The icon of the document will be displayed. Double click on the icon to launch the document.

OR

Enter the name of the file that you want to link to the section. You can only link files ending in .TXT or .RTF extensions this way.

To find the file that you want to link, click the button from the topic properties window which displays the Open dialog box.

When files are linked in this way, the actual document contents are displayed in the topic text.

When done, either select the New button or Cancel to ignore changes.

Adding Text to a Topic

After you create a book, folder, or topic, you can add text to the right pane of the InfoBase. The text can either be the entire section or topic contents, or can describe an attached file.

To add text to any selected book, folder, or topic, position the cursor inside the large right pane of the InfoBase. The title pane will close, and an editing toolbar appears.

The toolbar provides a quick way to execute editing and format commands. Move the mouse pointer over one of the toolbar icons to display a tip next to the icon describing its function.

When done editing, select to save the text. If you do not save before trying to perform another operation in the InfoBase, a prompt will ask:

Select Yes to save the text.

Selecting Topics

To find a topic, press the Select lookup which will display a list of all the topics entered. Find the topic you want and select it. The screen will redraw displaying the topic you selected.
