Re-Indexing Data Files

TSM uses a series of index files to keep track of the data entered. These index files enable TSM to quickly find information in the database and sort that information in the desired way.

If TSM's index files become corrupted due to system crashes or other unforeseen events, strange results can be expected. This could manifest itself by an error message occurring or simply not being able to find information that you know is definitely there.

Do not be alarmed if an index problem occurs as the index can be easily re-built from the database. Just as with a reference book, if the index is damaged you can't find anything even though the actual information in the book is still there.

To fix indexing problems you will need to perform a Re-Index. Re-indexing sorts your data so that TSM can locate it.

Note:
1. All TSM users will need to be logged out before applying the update to the TSM directory.
2. Close any integrated applications such as The Accounting Post, MYOB Post, Goldmine Link, Exchange Link or other TSM add-on programs. See the list below*

* If TSM Remote is installed, please run iisreset -stop in cmd on the server computer hosting those sites, and run iisreset -start after update.
* If TSM Mobile is installed, please open service.bat from the start menu, stop the service of “TSM_remote”, and start “TSM_remote” service after update.
* If TSM Live is installed, please open Services manager, stop TSM_LIVE and SQLANYwhere by order.
* If TSM Self Service is install, please open Services manager, stop Apache Tomcat service
Please contact TSM support if you find any problem about switching off the following TSM services.

Performing a Re-Index

  • Click Reindex in the TSM Task Bar Utilities menu - Advanced
  • Select the TSM modules you want to reindex. Tick the modules you want to reindex and untick the modules you do not want to reindex. Unticking unwanted modules can speed up the reindex process.
  • Press the Tag/Untag All button to quickly select / unselect all the modules.
  • While reindexing, TSM can also check your database to ensure its database structure is up-to-date. From time to time, new versions of TSM can add features to its database. The Check Data Structure option checks your TSM information and adds any new fields that a new version of TSM might require.

If you are sure your database structure is up-to-date, unchecking the Check Data Structure can significantly reduce the time reindexing takes.

Whenever you delete records in TSM, those records are not actually physically removed from the database. As such, TSM can slow down over time as more and more deleted records accumulate in the database. There are 2 Pack options:

No Pack

Do not pack the databases

Pack

Pack the database removing deleted records

Note: You should not normally select either Pack option as records can not be undeleted once they have been packed.

  • When you are sure that you are the only user in the system, click the Ready to Reindex button to commence the reindexing process.

How often should you reindex?

Under normal circumstances, you should reindex TSM data files weekly. However you should also reindex TSM whenever you suspect a problem in TSM or one of your computers or file server unexpectedly shut down while TSM was running.

In general, you should reindex TSM whenever problem emerges, that does not appear to be connected to any changes in your system and before you call for TSM support.
